The Calgary Region Immigrant Employment Council (CRIEC), established in 2010, is a dynamic non-profit organization based in Calgary, Alberta. CRIEC is dedicated to advancing pathways and building positive relationships between Calgary employers and internationally trained professionals. By bridging these connections, we promote hiring and retention of diverse international talent, in the local workforce contributing to the local economy.

Your ability to provide superior administrative support is evident in your exceptional time management skills, and your ability to effortlessly handle multiple tasks and calendars and to coordinate meetings or conference calls at a moment’s notice. You’re highly proficient in Microsoft Office Suite, and your expertise is evident in your ability to create professional documents, spreadsheets, and presentations.

About the role

The Administrative Assistant plays a key role in supporting the Executive Director and the CRIEC team, handling important tasks like managing correspondence, scheduling meetings and calls, coordinating travel arrangements, and helping bring events to life.

Job Type: Fulltime Permanent
Reports to: Executive Director
Location: Hybrid (2 days in-office required)

Responsibilities

Office administration and support to the Executive Director (70%) 
  • Handle administrative functions that carry a high level of responsibility including executive calendar management, organizing meetings and conference calls, and correspondence  
  • Provide administrative support - Using Microsoft 365 applications to create and maintain documents, spreadsheets, and presentations 
  • Assist with administration of various CRIEC programs and initiatives including registration, records management, and providing support to HR and Finance teams. 
  • Create/update correspondence, filing and scanning. 
  • Prepare expense reports. 
  • Review, update, implement and maintain CRIEC’s records management system and electronic data for corporate records. 
  • Prepare and issue meeting notices, draft agendas, and notifications to contributors and presenters. 
  • Record accurate minutes and electronic files at meetings 
  • Ensure contact lists are kept updated in CRIEC’s CRM system. 
Event planning (30%) 
  • Assist with the planning and implementation of community and stakeholder engagement events. 
  • Research and reserve venues, organize and review vendor contracts,  
  • Manage invitation and registration lists. 
  • Ensure events run smoothly, assisting with event set-up and take down, and preparing reports. 

Qualifications

Must Have
  • Legally able to work in Canada.
  • Bachelor’s degree in Business Administration or related field
  • 3- 5 years progressive experience as an Administrative or Executive Assistant
  • Exceptional written and verbal communication skills
  • Highly proficient in Office 365 (Word, Excel, PowerPoint, Teams, SharePoint)
  • High level of confidentiality
  • Experience in corporate and or not-for- profit organization
  • 3-5 years of event planning and management in a corporate setting
  • Strong project management skills, including the ability to plan, coordinate, and execute multiple activities and deadlines.
  • Advanced skills in report writing, spreadsheet creation and PowerPoint design and presentation
  • Proficiency with digital tools, including CRM, video conferencing platforms, document sharing, and collaborative software.
  • Adaptable and flexible to adjust to changing priorities and deadlines.
  • Demonstrated commitment to continuously learn and grow professionally and within the organization.

Nice to Have

  • Experience working with board of directors
